School Management Rules

  1. Class assignment and operation
    1. Classes are customized according to the needs and goals of the student. Classes are conducted at the speed and style desired by the learner.
    2. You cannot have two (2) one-on-one classes with the same teacher.
    3. There are 19 guaranteed classes per month (From the 1st to the last day of the month). If 19 guaranteed classes cannot be met due to national holidays, make-up classes will be conducted.
    4. There will be specific study areas for students depending on their English level. The classrooms will be divided into STAGE 1, 2, 3, and 4. (This will be available by the end of 2022.)
MAKE UP CLASSES AND HOLIDAYS
If guaranteed 19 days of classes within a month are met, NO make-up classes shall be provided.
If guaranteed 19 days of classes within a month is are not met due to holidays Make up classes shall be provided.
Absences due to personal reasons or illnesses NO make-up classes shall be provided

* If you do not continuously improve your level or score, you may be asked to take the compulsory Saturday self-study as a penalty.
IELTS / TOEIC SCORE GUARANTEE COURSE
Attendance rate of at least 95% of regular classes, IELTS missions, and compulsory self-study is required.
Weekly test and Saturday mock test require 100% participation.
If your Mock Test’s scores drop 3 times in a row, your score guarantee benefits will be cancelled.
If you receive two warnings at school or dormitory, your score guarantee benefits will be cancelled.
If the score guarantee benefits are canceled, classes will be held until the end of original scheduled study period.
SPARTAN PROGRAM STUDENTS
(Intensive ESL, IELTS Intensive, IELTS/TOEIC score guarantee)

Students who are late or absent from the compulsory self-study must attend the Saturday Compulsory Self-Study, where weekend outings are restricted.
BUDDY TEACHER
Buddy teachers are assigned to new students to help them conveniently adapt to school life. Buddy teachers monitor your class satisfaction, level/score, relationship with other people, health, etc.
If you have any problems with your studies or dorm life, please consult with your buddy teacher first.

School Regulation and Rules

  1. No alcohol, guns, knives, or weapons of any sort (there will be an inspection of your personal belongings at the main gate).
  2. Theft, vandalism, assault, and other acts of violence are strictly forbidden.
  3. Unauthorized entry into classroom buildings after regular class hours is forbidden. The classroom buildings are closed at 6:00 pm and students cannot use the school facilities such as classrooms, aircon, etc. without permission. Exceptions are made when there are mock tests or optional classes.
  4. All students must have their ID cards and follow the Dress Code when attending classes.
  5. Dress code: wear appropriate clothing in class (no hot pants, mini-skirts, tank tops, and so on).
  6. Students must notify the school of any food allergies, illnesses, physical disabilities, and so on.
  7. Personal hygiene is important. Be aware of sweat and halitosis (bad breath).
  8. Use the title ‘TEACHER’ before the name of your teacher and respect classroom etiquette.
  9. Follow the instructions of your teacher in your class.
  10. Do not touch teachers and/or students inappropriately.
  11. Respect for other cultures is important so avoid sensitive topics that may create an uncomfortable atmosphere (e.g., religion, politics, wars, and so on).
  12. In group classes, do not dominate the class, give other students time to talk, and refrain from making insulting remarks about others’ opinions.
  13. Guests are not allowed except with the permission of the manager.
  14. Turn off the shower heater when you finish using it. (Instruction from the manufacturer)
  15. If you lose your room key, please notify the office. (Penalty:500 pesos for replacing the doorknob     and duplication of the new room keys for backup).
  16. EOP (English Only Policy): you should speak only English inside school rather than speak your language. Please note that the school may change and enforce a new EOP system at any time. 
  17. Do not make noise around the swimming pool and dormitory areas after 10 pm as this will disturb other people. (Respect other students’ right to peace and quiet).
  18. Do not touch other people’s possessions without their permission.
  19. Do not enter another person’s room. It is strictly forbidden to enter rooms of the opposite sex
  20. Use dormitory facilities carefully. Nailing, taping, using adhesive materials (e.g., glue/bond), and scribbling on walls are strictly prohibited. All damages will be charged to the student).
  21. Do not take any utensils out of the cafeteria such as spoons, forks, chopsticks, cups, glasses, meal trays, plates, and bowls without permission. (Penalty: 500 pesos)
  22. Check and set your watch based on the school time to avoid any problems. Verify if the time is accurate with the bell or not. Beware: clocks may not show the correct time after a blackout.
  23. Be sure to lock your room to prevent theft (cash and valuables are your responsibility)
  24. Students are not allowed to check the CCTV without permission.
  25. Curfew violations will result in a warning (based on school rules).
  26. Unauthorized possession and/or use of school keys to open restricted areas is strictly prohibited.
  27. Smoking (including e-cigarettes, ex. Vape) inside the rooms or in any place other than the designated smoking areas is strictly prohibited.
  28. Make sure that you are aware of and respect all school policies, rules, and regulations at all times.
  29. Leaving students must leave their room by Saturday 1 pm. If students want to stay until Sunday, they have to get permission from managers and pay 2,000 pesos (this is subject to availability; it might not possible if all rooms are already booked).
  30. The school can change, add, or remove rules with immediate effect if the management decides these changes are necessary. Students must abide by any changes in rules and regulations.

Class Absence

  1. [Absence] If you want to be absent from class for any reason, you should inform the office and send a LINE/KAKAO/WECHAT message to our staff with your full name e(passport), English name reason, and room number.
  2. [Absence] If you are more than 10 minutes late, the class will be automatically canceled and you will be marked as absent (For group classes, students cannot enter the classroom 10 minutes after the class has started).
  3. [Absence] If your attendance is less than 90%, a graduation certificate will not be issued.
  4. [Absence] If your teacher is absent without any notification, please inform the office to have a substitute teacher or make-up class. (Absent teachers: check the bulletin board from time to time to see the list of absent teachers).
  • When you need to be absent from your class, please send a message to your staff with your full name, reason, and room number. 
  • Students are not allowed to be absent from any classes for invalid reasons such as “tired”, “sleepy” and so on. Don`t forget that you are here to study and improve your English level.

Curfew and Stay-out

  1. [Curfew] Curfew time: Sunday – Thursday 10:00 pm, Friday, Saturday, and the eve of public holidays 01:00 am (If there are classes the next day, the curfew time is 10:00 pm. If there is no class the next day, the curfew time is 01:00 am)
  2. [Curfew] Please check gate guard house time regularly and set your watch to avoid being late.
  3. [Curfew] When you go out, you should also fill in the logbook (Entry & Exit Record) at the main gate. When leaving, deposit your ID and key with the gate guard.
  4. [Curfew] You must not record the names of other students in the logbook. Those caught doing this will be given a warning or expelled.
  5. [Curfew] Authorized period: You can stay out from Friday Evening to Sunday curfew time (permission required). You can also stay out on the eve of a holiday if there is no class the next day because it is a holiday. (e.g., If Friday is a holiday, you can stay out from Thursday Evening).
  6. [Curfew] How to apply: You should submit a ‘Stay-Out Travel Wavier’ for Safety Precautions. Agreement up to Friday or before the Holidays before 5 pm in the office. You must fill out the waiver carefully.
  7. [Curfew] In principle, you are not permitted to stay out on weekdays. However, if your family comes to visit, you can get a special permit document after consulting the General Manager.
  8. Passport and Visa Extension Rule: Please inform the office 5 weeks before if you have a plan to travel out of the Philippines. This is to avoid any problems relating to your passport and visa extension.

Warning Penalty

Students are to follow the school rules. In any case of a violation, students will receive the NOTICE TO EXPLAIN and WARNING LETTER with certain penalties.

Violations for Warning

  1. Curfew Violation
  2. Bringing guests inside the school and dormitory without permission
  3. Unauthorized possession and/or use of school keys to open restricted areas
  4. Bringing or trying to bring alcohol onto the school premises
  5. Smoking inside rooms or any place except the designated smoking area (including vape cigarettes)
  6. Making excessive noise after 10:00 pm. (Be respectful of other students)
  7. Recording the name of another student in the logbook
  8. Absent from mandatory self-studying three times in 4weeks
  9. Other offenses & violations (based on the school rules & regulations)
  10. All warnings will be reset every 12 weeks

Immediate Dismission

ONE-TIME EXPULSION WITH NO REFUND

  • Serious insubordination or willful disobedience towards any school representative.
  • Going to a casino or gambling
  • Theft
  • Going out without permission after curfew time
  • Spreading rumors verbally, including via the internet
  • Revealing any agency promotion to other students.
  • Failure to report damage to school property (Property damage: fine equivalent to the cost/repair expenses will be charged)
  • Entering the dormitory room of the opposite gender (no matter how many people are present)
  • Dating employee (The employee will also be expelled)
  • Using narcotics, psychotropic substances, or any other illegal drug, or drinking alcohol on the school premises
  • Prostitution
  • Unplugging / Turning off the CCTV anywhere and at anytime
  • Physical violence toward anyone
  • Any other serious offense that the school considers justification for immediate dismissal.
  • Non-notification of COVID-19 symptoms

Exemption and Rights

  1. CIP cannot be held responsible in case of natural disasters, wars, unexpected events, airline delays/cancellations, and other events or incidents beyond its control.
  2. CIP is not responsible for incidents happening outside the school premises due to circumstances beyond CIP’s reasonable control such as accidents,      diseases, loss or damage of property, and so on.
  3. No refund policy for changing course (Downgrading course)
  4. Students can only be compensated by claiming through their insurance company policies.
  5. Regular classes are held from Monday to Friday and are based on 5 days a week.
  6. There are regular classes on a national holiday. However, if the class falls short of the 19 days of the month, make-up classes will be held.
  7. The school has the right to change the subject, course, syllabus, start date and programs, and tuition fee at any time due to unforeseen circumstances and as the school deems necessary or as a result of changes in exchange rates, changes in government laws, or other reasons beyond our control.
  8. Regular services such as optional classes or activities can be changed or terminated due to local situations affecting the school; there is no refund in such circumstances.
  9. Students who show no interest in studying through non-attendance, breaking curfews, and so on will be cautioned and possibly expelled if there is no change in behavior.
  10. Any damage to the reputation of the school will result in immediate expulsion. Compensation cannot be claimed from the school by the student.
  11. CIP has the right to inform the student’s parents/guardian and agent before or after expelling the student.

Enrollment and Entry Requirements

  • All applications must be submitted to CIP at least 4 weeks before the start of each course and the document required for the course application:
    • Scanned copy of Passport
    • Application Fee ($100, Non-Refundable)
  • The Admission Fee ($100) will not be refunded after confirmation of enrollment.
  • Students shall book air-ticket and study abroad insurance through their agents or themselves after enrollment.
  • Fees (Tuition and Accommodation) have to be paid within 14 days of registration. 
  • Fees for the student who has less than 4 weeks from the registration date to the start date shall be transferred within 2 weeks from the registration date. 
  • Students’ Check-in time is from Saturday 1:00 PM – Monday 03:00 AM. Check-out time is until Saturday at 1:00 PM. Late check-out / early check-in is possible with an extra per day based on dormitory availability. The rooms for Late check-out / early check-in are subject to availability and change.
  • Young Learner Students (5~15 years old) need to study with his/her parent or guardian.
  • Students are not allowed to give their classes to other students.
  • Students must inform the school of specific matters or health conditions (e.g. allergy, sickness/disease, physical disabilities).
  • Students must agree and comply with the school’s terms and conditions, policies, rules, and regulations before enrollment.

Dormitory Life Rules

  1. In study-abroad life, basic courtesy must be observed. Be kind to each other, and do not interfere with other people’s studies and life.
  2. Rules of living in the room. We have different lifestyles. If we respect our roommates’ lifestyle,
    everything can go smoothly.
    • You must be quiet in the room after 10pm.
    • Do not touch your roommate’s belongings.
    • Turn off the lights after midnight, and use only the desk lamp. Phone calls shall be made outside the room.
    • Do not force your roommate to do something with you. You don’t need to have a roommate with you when you go out or travel.

If you go out, minimize contact with other people who are not CIP students. Junior students have to get permission first from the manager when they go outside. Staying out for travel must be approved in advance. Need to sign a waiver.

Room Cleaning Depends on the student’s preferred day and time. *Need to fill out the sign sheet. The housekeeping checks it regularly.
*The student must be in the room during cleaning time.
Laundry Depends on the student’s preferred schedule. *Need to fill out the sign sheet provided in advance. The housekeeping checks it regularly.
*Laundry is done (2) twice a week.
*We suggest washing expensive and valuable items on your own.
*Free laundry for a maximum of 5kg, 70pesos/kg for the excess.
*Fill out the laundry checklist.
Beddings Contact the housekeeping staff or student service. *For women, frequent replacement is allowed.
Garbage collection Daily or every other day *Trash bins are emptied regularly.
*Inform the office if not taken out.
MEALS

HEALTH PRECAUTIONARY MEASURES
*If you think you are experiencing diarrhea, dizziness, or difficulty breathing Inform the office immediately to take necessary actions.
*If you think you have Covid-19 symptoms such as headache, sore throat, loss of taste/ smell, fever, etc.
*If you have Covid-19 symptoms, online classes shall be provided after being quarantined for a certain period.
LEAVING STUDENTS
Dormitory deposit *Shall be returned 1 to 2 days before departure.
*Can be used to pay utilities.
Transportation service to the airport *Inform the office ahead of time if you need assistance.
Damages Dormitory furniture and other items will be checked before you leave. If there are damages, you will be asked to pay accordingly.

Post Pandemic Rules

MEASURES TO STAY HEALTHY AND SAFE AT CIP ACADEMY
Always wear your facemask, except when having meals or in your room. Cooperate with disinfection. It is done twice (2) a day.
Avoid face-to-face contact as much as possible. Keep at least a 1-meter distance when talking to other people. Practice regular ventilation inside your room every day. Open windows and doors to allow fresh air to circulate in your room.
When you think you have Covid symptoms, report, isolate, and get tested immediately!
When confirmed with Covid,
  • You will be moved to another room for quarantine until the RT-PCR test result comes out. During this period, classes will be held online only. Meals and necessities will be delivered.
  • You may stay in your room or go to the hospital depending on the severity of your symptoms. Please keep your insurance certificate with you.
  • Symptomatic patients and roommates of confirmed patients will also be tested and shall be quarantined until results are available.
Outside and volunteer activities, etc. are temporarily postponed until Covid-19 is gone. Instead, engage yourselves in simple activities on campus such as jogging, basketball, table tennis, badminton, and swimming.  

Tuition Discount Policy

This regulation shall be applied to the students admitted on May 10, 2022
